OPERATIONS OFFICER – ENTERPRISE DEVELOPMENT PROJECT (EDP) ZAMBIA

Job Purpose / Main accountabilities

Contracts Management

  • Compile and ensure correctness of all contract agreements prior to signature by Country Managing Director Zambia.
  • Distribute EDP contracts to clients and managers and follow-up for AMSCO copy.
  • Ensure all amendments to contracts are properly captured e.g. additional Technical Expert, contract extensions.
  • Capture AMSCO contract on Salesforce and distribute to HQ / Company Secretary.
  • Liaise with EDP team and ensure all terms and conditions of the contracts are adhered to at all times.
  • Dispatch contracts to the Legal Department for record

Work Permit Management

  • Follow proper process to obtain work permits for Technical Experts, renewal of permits for all EDP Technical Experts (including their spouses and dependents) seconded to EDP projects in Zambia.
  • Assist EDP Zambia designated Technical Experts in obtaining clearance for their personal effects as well as their vehicles at the start and end of assignments.
  • Maintains and improves the good rapport that has been established with appropriate Government Authorities responsible for processing of permits for Technical Experts including the Department of Immigration and The Ministry of Finance.
  • Maintains proper relationships with the Zambian Government.
  • Provides sufficient briefs to designated Technical experts to facilitate successful implementation of their assignments.
  • Collect and upload accreditation information on MIS system – ERP.
  • Notifying the relevant parties in the EDP team and AMSCO of any changes with regard to the accreditation of Technical Experts in Zambia.
  • Performs other duties as directed by the Account Manager EDP and the Managing Director AMSCO Zambia.

Information management

  • Ensure correctness of all project information captured on MIS – ERP;
  • Assist the Account Manager EDP collate information on all prospective EDP Beneficiary Enterprises;
  • Ensure MIS reporting is carried out i.e. Technical Experts inception reports, bi-annual reports and completion reports.
  • Preparation of Case Studies
  • Establishes and maintains an up-to-date reference filing system and office records in various matters relating to EDP;
  • Support project monitoring by establishing and maintaining contact with Technical Experts and project promoters;
  • Assists the Account Manager EDP in preparing Presentations and Monitoring and Evaluation (Impact Study) information;
  • Maintaining Technical Experts’ lists, project lists are up to date for the EDP portfolio;
  • Assists the Account Manager EDP and Finance Officer in the timely collection of project management fees;
  • Receives Technical Experts and assists in the implementation of induction for all new experts;

EDP Steering Committee Management

  • Liaison with the EDP Steering Committee Secretariat for committee sitting dates
  • Distribution of committee meeting packs 2 weeks before the meeting
  • Securing signed meeting minutes
  • Payment of Sitting Allowances
  • Steering Committee meeting catering coordination

Knowledge and Expertise (relating to specialist knowledge and expertise required to undertake the role.)

Essential

  • Knowledge of office administration.

Preferred

  • Understanding of GRZ Immigration processes and procedures.

Experience, qualifications and other requirements specific to the role (eg age requirements)

  • Tertiary qualification in commercial studies.
  • At least five years’ work experience in a commercial environment and/ or Development organization.
