Duty Manager – Terms of Reference

Job Title Duty Manager
Reports to Lodge Manager
Liaises with All departments

In the role of Duty Manager, you will be responsible for the running operations of the lodge as well as making managerial decisions in the absence on the Lodge Manager. In essence, your tasks will be to perform the more basic managerial tasks while the Lodge Manager focuses on more complex tasks.
This position requires one to be focused and be a trendsetter. Lodge Duty Managers possess a busy, emotionally taxing job that requires them to be incessantly on their toes and ready for the worst-case scenario. They ensure that the Lodge operates efficiently and effectively when the Assistant Lodge Manager is not there. A duty Manager must have a kind personality, an excellent attention to detail and thrive in a fast-paced work environment. Should have an enquiring mind, be methodical, and pay attention to detail, be creative, and show perseverance and patience, ability to work under pressure, ability to accept routine and mundane tasks, have high energy level, and be flexible, ability to overcome obstacles and persist with the task at hand, be decisive and adaptable.

Key Responsibilities Include but are not limited to;

  • To maintain order and ensure the highest guest satisfaction;
  • Monitoring Front-of House efficiency, emphasizing on upselling, efficient check in and check out;
  • Dealing with guests’ problems and complaints;
  • Meeting and greeting guests, and hosting;
  • Coordinating events and conferencing;
  • General checks in all departments ensuring that schedules are followed;
  • Liaison with maintenance on any reported maintenance issues;
  • To ensure that the cleanliness, hygiene and sanitation of all areas are immaculately maintained at all times according to the standards of the company and as specified by senior management;
  • Ensuring of availability of all menu items, stock items and tools of trade in all departments all the time , taking into consideration the cost implications all the time;
  • Carry out daily inspections;
  • Conducting team briefings;
  • To monitor the performance and morale of Front Of house staff and report to the Lodge Manager when necessary;
  • Stock taking;
  • To maintain order within the lodge ensuring that all staff attend to their workstations on time;
  • The Duty manager will be required to train junior staff when needed to help better themselves and grow in the company;
  • The duty manager can discipline staff verbally without authorization but must get approval from lodge manager for all written communication with staff members.
  • Reporting;
  • Any other duties that may be assigned to you by management from time to time.

Qualifications

  • Grade 12 or equivalent;
  • Hotel School Diploma/ Degree;
  • To have worked in a similar position before.

Working Hours

Working hours will vary but will typically include regular unsocial hours, including working late nights, weekends and bank holidays. Working hours can be long and could restrict social and family life. The Lodge Manager asks that you are flexible and available especially to work evenings and weekends.

  • Be able to manage a shift on your own;
  • Ability to multi-task;
  • Have an eye for detail when working with guests and on the floor operationally
  • Solid communication skills and the ability to interact with guests
  • Have sound knowledge of hotel operations with a preference to stocks, housekeeping and maintenance
  • Must be able to successfully manage, train and motivate a team
  • Ms Office is essential (Word, Excel and Email)
  • Good report writing
  • Good English – both written and spoken
