1. BACKGROUND
The Young Women’s Christian Association (YWCA) Zambia with funding support from Comic Relief through YCare International is implementing the Empowering Young Female Slum Dwellers to tackle Gender-Based Violence in Lusaka, Zambia. As part of organizational development support from the project, YWCA seeks to engage a consultant/consultants to develop a website for the organisation.
2.0 OBJECTIVE OF THE CONSULTANCY
The main objective of the assignment is to develop a website for the organisation.
3.0 KEY FEATURES OF THE WEBSITE
The website should have the following features:
- Secured & Authenticated Web Access:
- Level of Access Rights:
- Users with Read permission;
- Users with Read and write permission;
- Users with Read, Write and Delete permission;
- Administrator;
- An attractive graphic layout that embodies YWCA’s corporate character and meets YWCA’s s branding specifications;
- Interactive and user-friendly;
- Mobile friendly and responsive design;
- A design that allows regular improvements on outlook and features;
- A dynamic design which allows for information to be easily updated by administrative staff without specialized web development skills;
- Contain webmails for key YWCA staff with alerts:
- Email alerts for members (fortnightly, monthly, customized based on their preference for info/frequency).
- Able to incorporate all YWCA’s social media platforms (Facebook, Twitter, YouTube, etc.) with live update options;
- Able to work well with search engines and should incorporate Google analytics
- should include, but not be limited to
- An e-newsletter function with email and text blasting options
- Ability to host subscription options;
- Fully integrated online fundraising, including the capacity for personal fundraising;
- Photo & Video Bank:
- Generating auto thumbnail for quick view in the photo gallery;
- With features such as caption, Date uploaded, copyright info for video and audio;
- Download large size / medium / Small size of photographs as options for user;
- Create Folders and Sub Folder;
- Share / send via email link and photograph(optional) ;
Give Star Ratings & Comments on Photograph & Video; (Video could be uploaded on other websites, with a streaming option on Intranet)

- The intranet should be capable of hosting a quick and basic level of discussion with and w/o moderation of comments.

Kindly note that these sections and subheadings are only indicative, and we will expect the selected service provider to guide YWCA through a discussion of its needs in order to Build the site’s architecture.
4. MINIMUM QUALIFICATION
The consultant/s must possess at a minimum the following:
- At least a degree in computer science or any related field.
- Masters Degree or higher will be an added advantage.
- Minimum of 5 years proven experience in website development with reputable organizations
- Good understanding of operations of non-governmental organisations
- Good spoken and written communication skills in English.
5. DELIVERABLES
The required outputs of this consultancy will be as follows:
- An operational website
- At least 20 email addresses for key YWCA staff
Company Profile (Board of Directors, Office location(s); key staff to be involved in website and their relevant experience etc.); - Understanding the Scope of Work;
- Proposed Methodology / Approach and detailed Timeline with Deliverables;
- Proposed Technology (with justification);-please highlight the pros & cons of the technology proposed;
- Team Strength (who will work on this project);
- Detailed Cost Break-up (Design, Programming, AMC*, SSL Certificate, Security Audit, Hosting* (* with recurring charges. Example: 1st Year and for the next 2 to 5), Maintenance;
- Details of the SEO strategy and training of Project Personnel in how to go about creating and managing content; Analytics and website monitoring report capabilities;
- Sample(s) of similar work-done (please list active web address);
Hosting Service (if you provide such services) (optional).

6. CONSULTANCY DURATION
The entire period of this consultancy will be for twenty days that will include preparing a dummy website for approval and developing and operationalizing the website, training of YWCA staff and developing the website operations manual.
7. REPORTING
The Consultant will report to the Executive Director
8. BID REQUIREMENTS
Consultants who meet the requirements should submit a, maximum of 10-page expression of interest which should include the following:
- A suitability statement, including a commitment to availability for the entire assignment.
- A detailed work plan.
- A detailed financial proposal,
- Updated a curriculum vitae that clearly spells out the consultant/consultants qualifications and experience.
- Contacts of 3 organizations that have recently contracted the consultant to develop their website.
